How to identify and remove duplicates in Salesforce

As an Account Engagement/Pardot user , you've probably heard of the acronym AMPSEA , which stands for Allow Multiple Prospects with the Same Email Address .


IMPORTANT, if your Account Engagement/Pardot account was created after June 14, 2016, it has this option checked by default and cannot be modified .

The argument from Salesforce's perspective is: This feature more closely aligns Account Engagement/Pardot and Salesforce . Every marketing interaction appears on individual records in Salesforce, and every Engage interaction syncs to the matching lead in Account Engagement/Pardot.

But in some cases, it can be a real headache and not see the switzerland number for whatsapp activity in the contact or lead that you expected to see or that you need to trigger sales or marketing processes.





What does this mean? If you have duplicates in SF, you can have them in Account Engagement/Pardot.
Using the AMPSEA system means that for every lead or contact in Salesforce, you have an equivalent Prospect record . Any duplicates created on the SF side will sync to Account Engagement/Pardot, and by duplicates we mean any between leads, between contacts, or between contacts and leads.

If you have this problem, you may draw wrong conclusions and on the other hand, you may reach the limit of your prospects in Account Engagement/Pardot, incurring unnecessary extra costs.

Once the problem has been explained, we now need to move on to solutions . These go in two directions: having well-constructed deduplication rules , beyond the standard ones that come by default in the base Salesforce installation, and having a report that allows us to see, a posteriori, if we have duplicates in our leads and contacts objects.

Steps to create a Leads and Contacts duplicate report:



Go to Setup.

Search for “Report Types”.

Following.

New Custom Report Type.

On the next screen, enter the information you want, make sure to choose “Duplicate Record Sets” as Primary Object and choose the “Deployed” option.
